Terms & Conditions

GENERAL TERMS
Applicable to all students

  • Students must be 18 years or older.

  • Class sizes are limited to a maximum of 12 students.

  • Fees do not include materials (e.g., books) or activities.

  • A non-refundable £65 administration fee applies to all courses.

  • All course fees are inclusive of holidays. Windsor English closes for approximately two weeks at Christmas (excluding bank holidays), one week at Easter, and all English public/bank holidays.

  • Any calendar weeks containing a bank holiday are counted as full weeks.

  • Missed lessons due to illness, accidents, or personal reasons cannot be refunded, rescheduled, or transferred. Please ensure your insurance covers this.

  • Courses are not transferable between students or sessions.

  • Payments may be made by bank transfer or cash only. Credit and debit cards are not accepted.

  • All bank charges or transfer fees relating to payments or refunds are payable by the student.

  • If a class falls below the minimum number required to run at cost, 1-to-1 lessons may be provided instead, adjusted to the value of the group course.

  • If fewer than 3 students are registered for a class, the school reserves the right to cancel the course and refund students on a pro-rata basis.

  • All students must comply with the full Terms & Conditions.

Non-Visa Students

  • Full fees must be paid before the start of the course.

  • For students already in the UK:

    • A £200 deposit is required to reserve a place.

    • Balance of fees is due 2 weeks before course start (or 4 weeks before for 1-to-1 students).

  • For students applying from outside the UK: full fees must be paid at registration.

  • Part-time courses (minimum of 9 hours per week across 3 days) are charged at 85% of the full-time weekly rate.
    Cancellation policy:

    • 7 or more days before course start → Full refund minus £65 admin fee.

    • Fewer than 7 days before course start → Refund minus £65 admin fee and £200 deposit.

    • No refunds are given once the course has started or if a student fails to attend.

Other conditions:

  • Cancellations of 1-1 classes under 24h are fully chargeable. 

  • Missed classes for personal reasons are not credited or refunded unless notification and payment to postpone the course has been received.

  • A course which has already started may be postponed for a fee of £35 per week, with a maximum postponement of 4 weeks (consecutive or non-consecutive) within a 24-week period from the start date of each course. After postponing a course, the student can re-join the group only if there is space, or the minimum number of students required for the group to run is met. If you cannot re-join the group, we will give you a cost-equivalent number of time credits.

Visa Students

  • Visa students must attend a minimum of 15 in-person hours per week (full-time).

  • Part-time courses are not permitted for visa students.

  • Full course payment is required at the time of receiving visa support from the school.

  • A non-refundable £125 visa letter fee applies to all visa applications.

  • Students are responsible for ensuring they apply for the correct visa type.

  • If a student leaves the UK or cannot return, no refunds will be issued for missed course time.
    ​If a visa is refused by UK Immigration:

    • £300 plus admin and visa letter fees are retained.

    • Tuition fees are refundable upon submission of the official refusal notice within 4 weeks of refusal.

  • Refunds will be issued via the original payment method.

  • No refunds are issued once the course has started or if a student does not attend.

  • Time missed cannot be added to the end date of the course.

Refund Policy

NON-VISA STUDENTS:​

  • Cancellation policy:

    • 7 days or more before starting course: you will receive a full refund minus the £65 admin fee. 

    • Fewer than 7 days before starting course: you will receive a refund except for your £65 admin fee and £200.

  • No refunds of course fees, deposits, or admin fees once the course has started or if the student does not attend classes.

  • Time taken off for personal reasons will not be credited back to the course durations unless notification and payment to postpone the course has been received.

  • Cancellations of 1-1 classes under 24h are fully chargeable. 

  • If class attendance and registration fall below three students per class, we reserve the right to end the course and refund students on a pro-rata basis.

VISA STUDENTS:​

  • The balance of the school fees is refundable via original payment method within 4 weeks of providing original proof of visa refusal.

  • If you leave the UK and are not permitted to return to the UK for any reason, the school will not issue a refund for course time lost.

  • There are no refunds once the visa has been granted or if the student does not attend the course.

  • ​If class attendance and registration fall below three students per class, we reserve the right to end the course and refund students on a pro-rata basis.

IT Policy

  • ​Please use IT at Windsor English responsibly. The interactive nature of the equipment requires you to be especially aware of both the school’s security and your own.

  • Your access of WE’s equipment/information is for your use only. You are not permitted to allow any other person

  • No viewing or downloading of offensive material or any contravening our PREVENT strategy is allowed.  

  • No unauthorised use of school materials is allowed.  

  • You must not interfere with files belonging to other users. 

  • You must not download or install any software on any computer belonging to the school without prior permission from the management.

  • Games or unauthorised material on school equipment is not allowed.  

  • Faults should be reported to the School Office.

  • Internet and email usage must comply with English Law, individual liberty, mutual respect and tolerance of different faiths and abilities.

  • ​Our PREVENT strategy countering terrorism must be observed in all uses of IT at the school.  

  • Windsor English provides internet access to help you with your studies. We expect you to use the internet for educational purposes and to conduct yourself responsibly and appropriately on the internet. 

  • Any user who posts materials to any web site that may be considered damaging or offensive to any persons may be asked to leave the school. 

  • You must not download, store, view, print or redistribute any file from the internet that is not directly related to your course. 

  • Students must not download any applications (programs, screen savers, games etc.). 

  • The use of public internet proxies is strictly forbidden. 

  • The school internet must not be used to download or distribute pirated or un-licensed software, music or other data. 

  • The school internet must not be used to spread any virus, malware etc. 

  • Use of internet is only to assist you in your studies.  

  • You are not permitted to install or run messaging applications on school computers. 

  • You must not send unnecessary or inappropriate emails and in particular emails which could be considered offensive, malicious or derogatory. 

  • You must not send bulk emails (spam) to multiple users. 

  • Always keep passwords private. 

Privacy Policy

  • At Windsor English, we respect your privacy and are committed to protecting your personal data. This privacy policy outlines how we collect, use, store, and share your personal information in accordance with the General Data Protection Regulation (GDPR) and the Data Protection Act 2018.   • Name

  • Contact details (address, email, phone number)

  • Date of birth

  • Nationality

  • Passport or ID number

  • Education and employment history

  • Emergency contact details

  • Health information (if necessary for your course)

  • When you enroll in one of our courses

  • We store your personal data securely in electronic and paper formats. We have implemented appropriate technical and organisational measures to ensure the confidentiality, integrity, and availability of your personal information.

Who do we share your information with?
